Steps for processing a cancellation
Check the order status: Verify if the order is within the allowed cancellation window.
Confirm cancellation reason: Record the reason for cancellation (e.g., "customer request," "out of stock," or "Pick up issue"). This data is valuable for business analysis.
Adjust inventory: If the order is canceled, update the stock levels for the vegetables and flowers correctly.
Process refund: Initiate the refund immediately. Confirm the amount, the original payment method, and the expected timeline with the customer.
Send confirmation: Use the relevant customer-facing template to confirm the cancellation and refund details.
Log the event: Add a note to the customer's order record indicating that it was canceled, who processed it, and the reason.
Special handling for perishable items
Freshness guarantee: Orders canceled due to quality issues require special attention. Offer a replacement or a larger store credit to maintain customer loyalty.
Waste management: Track canceled perishable orders to help minimize future waste. Items canceled within a short window might still be usable and can be pick up to a secondary purpose or donated.
